In this article, you will find out how to print name badges directly out of your check-in app.

Note: The “eyevip Check-In+” app is available for iOS and Android devices. However, it is not yet possible to print name badges with the Android app. The print function is only available in the iOS app.

Suitable printer

Connect printer to the check-in app

Connect printer to WLAN

  1. Turn on your printer.
  2. Click on the menu button and navigate to WLAN
  3. Set WLAN (On/Off) to On.
  4. Return to WLAN and select Manual Infra Settings.
    All available networks are searched for and displayed.
  5. Select the desired WLAN by clicking on OK.
  6. Enter the password for your network.
  7. The printer connects to the WLAN and is now ready for use.

Connect check-in device to WLAN

  1. Select the desired WLAN on your device.
    Please make sure that the printer is in the same Wi-Fi network.
  2. Open the check-in app.
  3. Log in to eyevip with your login details.

Establish connection with printer

  1. Click on the gear icon at the top right.
  2. Select Connect Printer.
    Your printer should be recognized and listed.
  3. Click on the printer name.
    Your check-in app will be connected to the printer.
  4. Now you are ready to go.

Hint: We recommend using your own mobile router. It is possible that the printing process will be slowed down if there are too many guests in the same Wi-Fi network as the printer and the check-in device.


Print name badges

Make sure that the label roll is inserted in your printer before you start printing the labels.

Open the desired event and select the scan function to scan your guest's QR code. 

The printer will print the guest's name badge after a few seconds.

You can print the name badge with or without the company name. The following conditions must be met:

  • With company name: The guest's company name is set in the company field. The company name is printed on the name badge in addition to the guest's first and last name.
  • Without company name: The guest's company field is empty or the company name is deleted from the field. Only the guest's first and last name are printed on the name badge.

Hint: Organize spare label rolls to ensure that everything runs smoothly at the event and you don't run out of label rolls.


Setup at the event location

We recommend using a mobile router to set up the printers and check-in devices on site. It is best to enquire about the network conditions at the event location in advance. 

It is also advisable to set up an emergency desk (laptop for registering guests or changing guest data). 

Create some dummy guests with whom you can test the printing of the name badges at the event location. Of course, it would be ideal if a test could be carried out in advance under the same conditions as on the day of the event.

Optimal setup:

  • Connect the router to the Internet on site via LAN cable
    (organize cable on site or bring it with you)
  • Connect the printers to the router's WLAN
  • Connect the check-in devices to the router's WLAN

Alternative 1:

  • Connect the router via SIM card in the cell phone network
    (good signal is required)
  • Connect the printers to the router's WLAN
  • Connect the check-in devices to the router's WLAN

Alternative 2:

  • Connect the printers to the WLAN on site
  • Connect the check-in devices to the WLAN on site
  • A router is not required in this case

Please note the possible problems that could occur when using a public WLAN.


Possible problems when printing name badges

Slow name badge printing (public WLAN)

The use of public WLAN may slow down the printing of badges due to insufficient connectivity. We recommend using a mobile router with a direct LAN connection to the Internet at the event location. You can find more information under Setup at the event location.

Printer does not connect to WLAN (public WLAN)

Please ensure that the public WLAN does not require two-factor authentication, as this will prevent the printer from connecting to the WLAN. We recommend using a mobile router with a direct LAN connection to the Internet at the event location. You can find more information under Setup at the event location.

“Invalid ticket” displayed after scanning QR code

Please check if the guest has the status “Accepted”, otherwise the guest cannot be checked in and the label cannot be printed.

Can I print my logo on the name badge?

No, it is currently not possible to print a logo on the name badge.

Can I change the font and font size?

No, it is currently not possible to change the font and font size.

The name badges are not printed. What can I do?
